ConversionOS: bringing the right new patients to a clinic

A clinic’s marketing usually lives in a pile of separate tools. Each is set up separately, so someone has to pull the data out of all of them and piece it together by hand before anything can change. ConversionOS replaces that with one AI harness, customized to the clinic, that connects to every system and checks its own results: automated reviews run every day and every week, a language model reports what is working and what needs fixing, and a person approves each change before it goes live.

People arrive through many front doors, and everything after that runs in one custom AI harness. What someone picks shows what they want, and the campaign engine uses it to choose their emails, texts and calls and to offer the next step on the ladder when it fits.

Every channel in one place, built around compliance

The system pulls in data from every channel the clinic uses, from Google Ads and the website to Instagram and organic search, without anyone exporting a spreadsheet. Every form, message, call, booking and payment lands on one record per person. It is designed from the start to comply with healthcare privacy and marketing rules: interests and engagement are kept, never health information, and nothing health-related is shared with ad platforms.

Creation at the speed of AI

The bottleneck in DTC marketing is usually how fast you can learn and intelligently create new material to test. Here, when we want a new page, a giveaway or a free resource for a specific question, we create it with AI (given the right context), and deploy it in minutes, with tracking and attribution already connected to the channels.

A campaign shaped by why each person came

Once someone raises a hand, they get a campaign of 30 days or more tailored to the intent they came with, which decides the content they see and what would be most useful to them, all within the same privacy rules. It runs across email, text and voice, including voice agents that answer sales calls to the practice’s number. All of this runs on review loops, so the system audits itself and suggests improvements for a person to approve.

Built-in control of offers and payments

A clinic usually has an easy way to get started and then longer programs. The offers are set up in the platform itself, and the system runs them: the offer, the payment, the enrollment and the calendar around it, from bookings and rescheduling to making sure forms are done before a scheduled call. When someone formally enrolls, they cross over from prospect to patient, and the relationship moves to the clinic’s second AI harness, EngagementOS.
